How Much Do Wedding Rentals Cost in Houston?

Most of a wedding rental bill follows your guest count. On our published rates, the three example orders below come to $1,775 for 50 guests, $3,630 for 120 and $9,750 for 200, before trip and setup fees, with every line shown.

What Drives the Cost of Wedding Rentals?

Your guest count sets most of your rental total, along with how many tables it takes to seat everyone. Everything else is a choice you make one piece at a time.

Our rates come in three kinds. Some are per guest, like the $15 chair and the $1.50 charger and napkin. Some are per table, like a $35 centerpiece. The rest are one flat rate for the room, like a $250 ceremony arch or the $1,700 LED dance floor.

Per guest items are the ones that quietly add up. Going from 100 guests to 150 adds 50 chairs, 50 chargers and 50 napkins, which is $900 before anything else changes. A flower wall costs the same whether 40 people stand in front of it or 400.

Every rate here comes from the Houston event rental price list, where all items sit in one table. This page puts those rates to work on real orders so you can see where the money goes.

What the three orders tell you

If you are planning a small wedding, the 50 guest order shows how the minimum works. Linens, chargers, napkins, five centerpieces, the flower wall and the champagne wall come to $1,025. That is under our $1,500 minimum order. Adding 50 chairs at $15 adds $750 and brings it to $1,775.

In the 120 guest order, the chairs are $1,800 of the $3,630 total, about half. Seating is the line to look at first if the number feels high.

In the 200 guest order, the ceiling drapes, the LED dance floor and the cloud and cold spark dances add up to $3,650. Those three pieces change how the room looks more than anything else, and they are also the easiest to drop.

How to Keep Wedding Rentals Cheap

You do not need a smaller wedding to spend less. You need to know which lines move the total and which barely touch it.

Start with chairs. If your venue owns chairs you are happy with, use them, because 120 of ours at $15 each is $1,800. Our event furniture rental page shows the designer chair if theirs will not do.

Pick your centerpiece on looks, not price. Almost every piece is $35 a table, tall or low, so the cheapest one is rarely cheaper.

Choose one big piece for photos instead of three. The champagne wall is $150 and a flower wall is $250, while the LED dance floor is $1,700. Draping is $15 a running foot, so measure the wall before you price it.

Keep the room to 20 tables if you can. Linens for all tables are $300 for up to 20, and a larger room costs more.

What Gets Added to These Totals?

You will see trip and setup fees on your quote, and neither is in the examples above. The trip fee is based on where your event is and the current cost of fuel, so we price it once we know the venue.

If you already own your decor, you can book a crew on its own. A two person labor only crew is $125 an hour and a three person crew is $175 an hour, with a 4 hour minimum. The event staffing in Houston page explains how a crew booking works.

Coordination is separate too. A day of event coordinator starts at $1,500 and full event coordination at $3,500, each priced on what your day needs. The event coordinator in Houston page covers the difference.

Clear Chiavari chairs and champagne flutes are stocked but quoted on request, so neither appears in the examples. Tunnel draping runs $950 to $1,200 depending on length.

When We Are Not the Right Rental Company

Your wedding may need basics we do not carry. We rent the pieces that dress a room, not the ones that build a bare site.

There are no guest dining tables, tents, dinner plates or flatware in our catalog. If you are building a reception in a backyard or an open field, call a company that rents those first. We can still bring the chairs, linens and decor that go on top.

We are also the wrong call for a very small order. If all you need is a few centerpieces, it will fall well short of the $1,500 minimum, and borrowing or buying may cost you less.

Where we fit best is a venue that already has tables, and a couple who wants the room to look finished. Our wedding rentals in Houston page shows the ceremony and reception pieces in photos.

Get the Number for Your Own Wedding

You do not need a finished list to get a real number. Take whichever example is closest to your guest count and change it: swap the centerpiece, drop the dance floor, add a backdrop.

Then send us the list with your date and venue. We confirm what is open on your date and add the trip and setup fees, so you see the whole number before you commit.

Wedding Rental Cost FAQ

There is no honest single average, because the total follows your guest count and what you choose. On our published rates, the three example orders on this page come to $1,775 for 50 guests, $3,630 for 120 and $9,750 for 200. All three are before trip and setup fees. Chairs at $15 a seat are the line that grows fastest.

Yes. Our minimum rental order is $1,500. A small wedding that only needs linens, chargers and a few centerpieces can land under that, so it helps to price the whole list before you call. Adding chairs or one backdrop is usually what brings a small order over the line.

No. Every item is rented on its own at the rate shown on our price list, so you only pay for what you use. If you want a starting point, treat the three example orders on this page as drafts. Swap the centerpiece, drop the dance floor or add a backdrop, then send us the list you end up with.

Our Gold and White Designer Chair is $15 each, so seating 120 guests is $1,800. The clear Chiavari chair is also stocked, but its rate is quoted on request rather than published. If your venue already owns chairs you like, using them is the biggest single saving on most wedding orders.

Yes. A two person labor only crew is $125 an hour and a three person crew is $175 an hour, with a 4 hour minimum. That makes the smallest crew booking $500 or $700. A trip fee based on your destination and fuel, plus a setup fee, are added on top.

Yes. We carry commercial liability insurance with a $2,000,000 aggregate limit. On request, we issue a certificate of insurance naming your venue operator or property manager as additional insured, before load in. Send the venue's requirements with your list so the certificate matches what they ask for.
